Publisher editions, administration, organisational structure

  • What should I do if a publishing employee has left the company but still has access to the portal?

As a publishing house, you must immediately notify us by email at mitgliederservice@gema.de of any former employees who have access to the GEMA online portal, as online access is personalised and non-transferable.

Before we delete the access, please provide us with the following information – also by email:

    • Was the employee responsible for submitting sound files or setlists? We can transfer the data from these areas to an online account of your choice. Simply provide us with the email address of the account to which the data is to be transferred. We require a hand-signed confirmation for the transfer.
    • Please also let us know when the employee ceased working for your publishing house and whether any other accounts should be removed.

As soon as we have received all the relevant information, we will make the necessary changes for you as quickly as possible.

  • Where can I go if I have questions about administration or the organisational structure?

Please direct your enquiries to the responsible department Members & Partners.

  • How can I register, re-register or deregister editions?

As a GEMA member, you are currently unable to create, re-register or deregister editions directly via the online portal. This must be done by email via our specialist department. Here’s how to proceed:

    1. Register a new edition

    Send an email to membersrights@gema.de.
    Please state:

    • Name of the edition
    • Associated music publisher
    • the date from which the edition is to take effect

Benefits for you: You will be assigned a separate account number for the edition, so that documentation and billing are shown separately from the main publisher. The first edition is free of charge; from the second edition onwards, a one-off fee of €100.00 (net) per registration applies.

    2. Re-register or deregister an edition

Please write to the Members & Partners department: mitgliederpartner@gema.de. Please state:

    • which edition is affected (name, account number, publisher)
    • whether it is to be restructured (e.g. different publisher / different allocation) or terminated
    • the date from which the change is to take effect.

    3. Enquiries regarding editions, administration or publishing structure

Please send an email to mitgliederpartner@gema.de. Alternatively, as a member, you can contact us by telephone on: +49 (0)30 5899 9005.

Good to know: An edition is a unit operating under the umbrella of a music publisher. The publisher can use it to represent parts of its repertoire separately to external parties and have them invoiced separately.
