Virtual Annual General Meeting ("AGM")

between 8 and 10 June 2021

The GEMA Members' Assembly 2021 will take place from 8 to 10 June. Since the corona pandemic continues to rule our lives in 2021, the Supervisory Board and Managing Committee decided, upon thorough deliberation, to hold a purely virtual Members' Assembly again.

The decision was not taken lightly, but not quite as difficult as it was last year, since the virtual participation options at the Members' Assembly 2020 had been very well received by the members, and, contrary to our expectations, even led to a surprisingly lively, constructive conversational exchange during the meeting. For the upcoming Members' Assembly, GEMA shall, once again, make every effort to enable its members to participate in a fully democratic process. In the run-up to the assembly, we are going to make available several information services so that members can prepare with regards to the content and technological aspects of the assembly. Furthermore, we will offer the option that votes can be cast in the run-up to the event. During the assembly, members can, just like in 2020, converse in a live discussion and cast their vote via an online live voting process.

In the following are the most important dates of the virtual Members' Assembly and information on the agenda and how you can participate. Further information is available in the 01/2021 issue of our magazine “virtuos” and in your invitation to the Members' Assembly.

The invitation to the Members' Assembly was posted six weeks before the date of the meeting - i.e. from 27 April 2021.

Members who have submitted an application before 31 December 2020 to receive the agenda by post, will be sent a printed agenda version by mail three weeks before the Members’ Assembly.

Ways to participate

The following ways to participate are available to you for a convenient and safe attendance from home. Please note that all participation options are subject to a mandatory online registration with your password from the invitation and your membership number in advance of the Members' Assembly.It is not possible to participate without a prior online registration. If you do not know your membership number, please contact us as soon as you receive the invitation at the address below.

Personal digital participation during the AGM
All associate and full author members can participate in their respective meetings personally via live stream and live discussion. Elections and votes will be carried out during the meetings via a digital online live voting process.  

If you wish to personally attend the virtual Members' Assembly, please register here between 05 May 2021, 10am (German time) and 4 June 2021, midnight (German time).

Important note to publishers:

Full publisher members have the option to participate in the e-voting in the run-up to the Members' Assembly or to have a representative participate during the Members' Assembly (see below).  

For associate publisher members there is also an option to participate by way of voting by proxy via a publisher representative (see below).

Full author and publisher members and delegates of the associate members who cannot participate in the meetings of the full members on 9 and 10 June due to time constraints, can cast their votes for the elections and appointments taking place at the meeting in the run-up to the Members' Assembly via e-voting.  If you wish to participate in the e-voting, please register here between 05 May 2021, 10am (German time) and 11 May 2021, 6pm (German time).

Representation (by proxy)
Full author members have the possibility to authorise a proxy or deputy/representative for digital participation in the Members' Assembly. If you wish to be represented at attend the virtual AGM by a proxy, please register here between 05 May 2021, 10am (German time) and 25 May 2021, midnight (German time).

To the online registration system

Please take note of the following important information: A transfer of several votes to a proxy/deputy is technically not compatible with online live voting. A proxy/deputy may therefore, exceptionally, only represent one member this year and exercise the voting rights etc. for that member.  Each member must therefore register a separate proxy/deputy via the online registration system. Please also note that for the same reason only external proxies/deputies (= no GEMA members) can be authorised.

Example:

  • A full author member can, if necessary, register a family member or another trusted person as a deputy. The deputy may not be a GEMA member and may only represent this author member.
  • A full member of a publisher who wishes to attend the AGM must register a deputy (person working for the publisher or other person). The deputy may not be a GEMA member and may only represent this publisher.


Voting by associate publisher members
Associate publisher members must register a publisher representative (owner, managing director, authorised representative) in order to participate in the meeting of the associate members on 8 June 2021. Please register your publisher’s representative in the period between 05 May 2021, 10am (German time) and 25 May 2021, midnight (German time) here:

Re-election of the Supervisory Board and other important committees 

During the 2021 Members' Assembly, members of the GEMA Supervisory Board, the Complaints Committee, the Attendance Allowance Committee, the Works Committee, the Rating Committee for the rating procedure for entertainment and dance music and the Assessment Committee for arrangers are up for election.

Candidacies and nominations for the said committees (with the exception of the Works Committee) could be submitted to GEMA by 13 April 2021. It is not possible to submit a candidacy in the course of the Members' Assembly. 

Prior to the electronic voting process [by proxy] prior to the Members' Assembly (“E-voting”) on 19 May, you can access short and video profiles of the candidates standing for election.

(Re-)Election of the Delegates for the Members' Assemblies 2022-2024 during the Assembly of associate members.

During the Assembly of associate members which is going to take place on 8 June 2021 in a purely virtual format again, the Delegates of the associate members and their deputies will be elected for the Members' Assemblies 2022-2024.
For organisational reasons, we kindly ask you to submit your candidacies for this election by 4 June 2021 via the following form.

Candidates for the Delegates’ election and the substitute Delegates’ election can, if they wish to do so, introduce themselves in the run-up to the Members' Assembly by means of a short, written profile with a photo or with a mobile phone video on the GEMA website.

IMPORTANT: Should you wish to submit such an introduction/presentation, we kindly ask you to provide GEMA with your candidacy and your short resp. video profile no later than 14 May 2021. In this context, please note the following:

The short and video profiles will be published here no later than 28 May 2021. Please note that, due to technical and organisational reasons, we cannot publish any short and video profiles that reach us after 14 May 2021.

Elections of the Delegates for the Rating Committee for the rating procedure in the entertainment and dance music in the Assembly of associate members

Additionally, an election of one associate member each as a Delegate will be held during the Assembly of associate members on 8 June 2021 for the Rating Committee for the rating procedure in the entertainment and dance music. Those who have been associate members of GEMA for a minimum of 5 years are eligible for election. Delegates are elected for the office term of the Rating Committee and contribute to the rating of the associate members in their relevant professional category.

Should you wish to candidate for this office, please send your candidacy by providing your first name and family name and your membership number no later than13 April 2021 by post to GEMA, Wahlausschuss [Election Committee], Rosenheimer Straße 11, 81667 München or via e-mail to wahlausschuss@gema.de.

Virtual AGM 2020

Between 29 September and 1 October, GEMA held its AGM this year. It took entirely place in virtual space due to the corona pandemic. Resolutions of the Members' Assembly included, like every year, several changes to regulatory documents, among them a provision allowing a more efficient and effective licensing of platforms with UGC content. There was a united view that additional support measures for affected music creators that had been particularly affected by the pandemic will be required.
