After two purely virtual General Assemblies, we would like to invite our members to a meeting in person and give them the opportunity to catch up in person, on site. At the same time, we would like to use technological achievements of the last two years in order to offer our members to participate by voting live and online or by casting their votes up front (“pre-voting”) in addition to the on-site event.

By offering this hybrid event type, we would like to give as many members as possible flexible and comfortable participation options for the General Assembly.

Delegates of the associate members who have been newly elected in the 2021 General Assembly may also participate in the meetings of the full members.

Membership party

The membership party, during which the Fred Jay Award will be presented, takes place on 17 May 2022 from 7.30pm in the Vienna House Andel’s. 

If you wish to take part in the membership party, you needed to register online. Registration was open between 13 April 2022 and 13 May 2022.

Important note: GEMA would like to make it possible for all members to participate. At the same time, the health of our members is a top priority for us. Therefore, participation in the membership party requires compliance with appropriate COVID-19 protection measures (for details, please refer to Important notes).

Ways to participate

The following ways to participate are available to you this year. Please note that a prior registration is only optional/voluntary for author members, who participate in person and on site. Please note that all other participation options are subject to a mandatory prior online registration with your password from the invitation and your membership number in advance of the General Assembly.

Personal participation in person and on site at the General Assembly

All associate and full author members can participate in their respective meetings in person on site.  Elections and votes will be carried out by voting in person (or presence voting) during the meetings.

To participate in the General Assembly in person and on site, you had the possibility to register between 13 April 2022 an 13 May 2022.

Important note: GEMA would like to make it possible for all members to participate. At the same time, the health of our members is a top priority for us. Therefore, personal participation on site requires compliance with appropriate COVID-19 protection measures (for details, please refer to Important notes).

Personal digital participation in the General Assembly

All associate and full author members can participate in their respective meetings personally via live stream and live discussion. Elections and votes will be carried out during the meetings via an online live voting process.

To participate in a digital form at the General Assembly, you needed to register online beforehand between 13 April 2022 and 13 May 2022.

Important note to publishers:

Full publisher members have the option to have a representative participate during the General Assembly (see below). For associate publisher members there is also an option to participate by way of voting by proxy via a publisher representative (see below).
 

Pre-voting in the run-up to the General Assembly

Full author members and publisher members and delegates of the associate members who cannot participate in the meetings of the full members on 18 and 19 May, could, after appropriate registration, cast their vote in the run-up of the General Assembly by using the pre-voting process from 27 April 2022, 10am to 10 May 2022, 6pm
 

Participation in person via a representative

During the registration period, full author members had the possibility to authorise a proxy or deputy/representative to participate on site in the General Assembly.  Full publisher members can only participate by sending a representative (e.g. owner, managing director, general agent or authorised representative, other authorised persons). Therefore, a prior online registration between 13 April 2022 and 3 May 2022 was required. 

Please note: A representative can attend on behalf of a maximum of ten full members.

Digital participation via a representative

Full publisher members had the possibility to authorise a proxy or deputy/representative to participate digitally in the General Assembly. Therefore, a prior online registration between 13 April 2022 and 3 May 2022 was required.

Please note: A representative can attend on behalf of a maximum of ten full members.

Voting by proxy in the case of associate publisher members

Associate publisher members had to register a publisher representative (owner, managing director, general agent etc.) in order to participate in the meeting of the associate members on 17 May 2022. This applies both for the event on site and the digital event.  The registration was possible in the period between 13 April 2022 and 13 May 2022.

Please note: A publisher representative can exercise the voting right for a maximum of five publishers.

Important notes

COVID-19 protection measures

When you are taking part in the General Assembly, please ensure that you adhere to the current COVID-19 protection measures on site and during the membership party:

Access to the main assembly meetings and any additional meetings and events, including the membership party is only possible for people who have been fully vaccinated (3x) or have recovered (people are deemed to have recovered if their positive PCR test dates back at least 28 days but not more than 3 months and if they hold an official COVID-19 recovery certificate) or for people who can provide a rapid test taken on the same day.

GEMA offers a rapid test facility on site for the first two hours once accreditation has started (on 17 May: Noon to 2pm, on 18 and 19 May: 9am to 11am). If possible, please register online in advance. After successful registration, you will receive a QR code which we kindly ask you show at the test station.

Should you arrive on site earlier or later, please remember that you get tested elsewhere beforehand so that you can present the respective test result. About 3 km distance from the event hotel: Covidtest Berlin – Schnelltest Lichtenberg; Landsberger Allee 270, 10367 Berlin; walk-ins without appointment possible from 8am to 6pm (Mon to Fri).

Visitors and event staff are recommended to wear FFP2 masks which you can take off once you have sat down in the meeting room and during meals (e.g. also in the lobby during the breaks).

Due to these protective measures, we renounce on setting the minimum distance of 1.5m.

In general, if you feel ill or even have symptoms that indicate COVID-19, please stay at home!

Required technical equipment for on-site presence and participation

So that you can comfortably take part on-site and in person, you need a state-of-the-art Android (minimum Android 10) or an Apple smartphone (minimum iOS14), or a tablet or laptop with the most recent browser version of Chrome, Firefox, Edge or Safari. It is not possible to participate in the meeting using Microsoft Internet Explorer. If you do not have your own device, you can borrow a device on site.

Please keep your password and your membership number to hand at any time during the event. If you have any questions, please contact the hotline mentioned below.

Required technical equipment for digital participation

So that you can comfortably take part digitally, you need a PC (minimum Windows 10) or a Mac (minimum MacOS Catalina) with camera, microphone and headset (or headphones) and the most recent browser version of Chrome, Firefox, Edge or Safari. It is not possible to participate in the meeting using Microsoft Internet Explorer. Moreover, you need an internet connection with a minimum of 10 Mbit/s download speed and 5 Mbit/s upload speed. For submitting any verbal contributions via video, we warmly recommend that you use a headset.

Invitations, agenda and transparency report

The invitations to the General Assembly have been sent out this year as follows:

  • Provided you are a full or associate author and are using the GEMA Online Portal personally (i.e. Not via an authorised agent), you will have received your invitation on 14 March 2022 via the Online Portal for download purposes.
  • To our other members, the invitation to the General Assembly was dispatched on 22 March 2022 by post, together with the virtuos magazine as a hardcopy.  
  • Members who have subscribed to virtuos in a digital format, and members who have not retrieved their invitation in the Online Portal by 25 March will have received their invitation by post from 5 April onwards

Members who have submitted an application before 31 December 2021 to receive the agenda by post, will be sent a printed agenda version by mail three weeks before the Members’ Assembly.

To participate in the hybrid info events in the course of the General Assembly, you needed to register beforehand and online between 13 April 2022 and no later than 13 May 2022. If you are registered, further information will be sent to you by e-mail before the respective event.

Election of the Rating Procedures Committee

for the rating procedure of composers of the category serious music (E)

In the professional group meeting of the full composer members on 18 May 2022, the members and deputy members of the Rating Committee for the rating procedure of the composers in the E category will be elected on the basis of the nominations of the Supervisory Board. Supplementary nominations could be submitted to the Election Committee of GEMA until 22 March 2022.  The members of the Rating Committee are also members of the Rating Committee for the rating procedure of the lyricists in the serious music category (E) (cf Art. 1 of the internal rules of procedure for the rating procedure of lyricists in the E category).

Above and beyond that, a Delegate will be elected in the meeting of the associate composer members on 17 May 2022 who is going to take on a consultative role when it comes to the rating of the associate members. Nominations could also be submitted by associate members of the professional composers category to the Election Committee of GEMA until 22 March 2022.

Election of deputy delegates

for the General Assemblies 2022-2024

Since some of the Delegates elected in the course of the General Assembly 2021 have already left office, be it due to the fact that they became full members or otherwise, an election of deputy delegates is going to take place in the course of the meeting of the associate members on  17 May 2022.
